Officers:
President: Conducts Executive and General Meetings; Must be elected by membership. Is an officer and must administer to the tax-exempt club in good faith to work for the membership, and have no monetary gain from the office. Has signature power for the bylaws, and legal decisions of club. Acts as conduit for Council news, secures the general meeting place either on their own, or though others. Must coordinate all business of the club (programs, committees, appointees, etc.). May serve as a representative to the Council in some instances.
Past President: Acts as advisor to President and other officers. Is part of the Executive Board of club.
Vice. President: Must be elected by membership. Is an officer and must administer to the tax-exempt club in good faith to work for the membership, and have no monetary gain from the office. Acts as President in the President's absence. Is part of the Executive Board of the club. May help coordinate business for the club.
Treasurer/
Membership: Must administer to the tax exempt club in good faith to work for the membership, and have no monetary gain from the office of the club, sits on the Executive Board of the club. Must be elected to office by membership. Keeps the checkbook and is the finical officer of the club. Must keep the monetary books and report the financial well being to the membership. Receives and logs all names, addresses, phone numbers, e-mail addresses for all members, and distributes all membership cards. Receives and logs all dues and other payments to club, and dispense all monies for expenses/deposits/dues to the Council and other entities. Must be bonded upon election.
Secretary/ Historian: Keeps minutes of meetings and reports on those minutes at the next general meeting. Is elected and is an Officer and a member of the Executive Board of the Club and may have no monetary gain from the office of the club. May keep scrapbook, or photo/written history of the club activities.
Council Reps (4): Elected or appointed in the absence of enough participation of elections. Must act as liaison to the Council and vote the club's choices at Council meetings and bring Council news back to the club. They are on the Executive Board of the club, but are not officers.
Council Alternate It, as above in place of any Rep. that can not attend meetings.
Council Ambassador: Acts as Club's representative at the Snow Ball (the club will pay for tickets to the ball) and participates in a contest with other Ambassadors from other clubs at the Ambassador Day, early in November, to win the right to be Council Ambassador (there are usually prizes for all Ambassadors and significant prizes to the Council winners. Winners must coordinate the following year's SnowBall). Also participates in On Snow Carnival and/or Ski Expo in duties assigned by Council Ambassador.
Newsletter:
Editor: Coordinates all submissions to the newsletter (President's message, Trips, other items) and incorporates all Council news and contact information for all in the club and Council. Helps to create invitations to club activities to stand out so all will be aware. Copies, collates, stamps, and addresses all newsletters. Prepares a version for e-mail and website.
Mail Distribution: Assists the Editor with mail distribution to include, proof reading, copying, collating, stamping, addressing and mailing all paper newsletters. May help to create some invitations/information for membership.
Distribution: Helps the editor to format and distribute e-mail versions of the newsletter.
Web Site: Maintains website and posts new items and monthly newsletters to the website as received.
Race Chair: Coordinates all Monday night and On Snow Carnival racing for the club. Attends meetings for Race Chairmen and has input to the overall program at the Council level. Acts as the captain of the Racing team. Coordinates members to participate in gate keeping on the night our club is assigned that task.
Coordinators:
Club Trips: Coordinates all trips for the club to include airfare, land packages, buses, and lift tickets. Researches and reports prices and possible deals to the club executive board for input and then publishes items in the newsletter for the rest of the membership. Coordinates with the Council newsletter editor to post our trips in that newsletter and website. Works with other day or weekend coordinators to assure the trips run smoothly.
Bus Day Trips Works with club chair to book and coordinate day or weekend bus trips for membership. Takes reservations from membership and coordinates with Treasurer for collections and payments to Ski areas.
Sugar Loaf Trip Same as above for Sugar Loaf trip.
Holiday Party: Book
Reservations for the
Party Activities: Create
games and activities for the party, host those activities at the party and
coordinate with Exec. Board and Treasurer for payments.
Picnic: Same as
holiday party, but for summer picnic.
Refreshments: Buy or make
refreshments for each meeting, and submit any receipts to Treasurer for
reimbursement.
Other Activity: Book,
coordinate and communicate any activity of your choice in any season if you
have an interest and have membership interest (tennis, white water rafting,
golf, mini-golf, camping, snowshoeing, X-Country Skiing, etc.)
OnSnow: Coordinates with Council and mountain for carnival weekend.
Youth Chair: Coordinates youth activities.
Pre Buy Ticket: Takes orders for pre-buy lift tickets/coupons and logs them, by number, all on a computer program. Creates envelope with ticket types and number for distribution. Makes sure the proper types of tickets for the proper mountains are ordered through the Council. Coordinates with the Treasurer for payments and orders after the initial meeting. Takes back and logs any unused tickets at the end of the season to turn in at the Council meeting for credits.
Pre-Buy Tix Distribution: Takes pre-buy tickets in envelopes and distributes to membership at the first few meetings, or makes arrangements with members outside of meetings to distribute.
Merchandise Distribution: Purchases logo merchandise for resale.
Snowball: Tickets: Obtains tickets from Council and sells them to membership. Collects money and gives it to the Treasurer. Gets check from Treasurer to give Council with list of tickets sold (with names).
SnowBall Raffle Gifts: Collecting from members gifts & prizes for SnaowBall.
Banner: Bring Snow Snake banner to all functions.
Entertainment Books: Order and sell books for club fundraiser.
